Manage reason codes in 52ViKING Store Management
When users perform certain actions on your 52ViKING solution, your organization may want to ask them why they did it.
Asking such questions is primarily relevant for statistical reasons (for example why a shop assistant discarded an article so that the article's stock level must be adjusted), but it can also serve as a gentle reminder to staff that their actions are monitored and logged (for example when a shop assistant removes cash from a till).
To help users quickly answer why they performed a particular action, 52ViKING can automatically ask them to select a reason code.
Examples of reason codes:
Max. display time reached (if a shop assistant discards a sandwich that has been on display for the maximum allowed number of hours without being sold)
Article has defect (if a shop assistant must select why a customer wants to return an article)
Max. cash limit reached (if a shop assistant removes cash from a till to bring the till's amount of cash below a maximum recommended threshold for security reasons)
Currently, Store Management only supports setup of reason codes for use with stock management (whether a user action impacts stock levels positively or negatively). If you need to set up reason codes for other purposes (for example returns or cash handling), contact your Fiftytwo consultant.
Add new reason code

Open 52ViKING Store Management in a browser, connect to the IP address or hostname of the required 52ViKING store service, and log in.

Navigate to reason codes:

Expand
the menu in the left part of the page -
Expand Stock maintenance

Select Reason codes

In the top right corner of the Reason codes page, click
. -
Specify the following:

Reason code number: The number that'll uniquely identify the reason code. Must be max. two digits.
If your organization uses a special numbering scheme for reason codes, it's important that you follow that scheme. Ask your Fiftytwo administrator if you're in doubt.

Reason code text: A name that describes what the reason code is used for.
Keep you reason code text short and to the point. When people are going to select a reason code, it may appear alongside several other reason codes in a selection menu, so it be must clear from the text exactly what the reason code concerns and when it's relevant to select it.

Stock impact: Select if the reason code concerns an action that impacts stock levels positively or negatively.

Increase: Reason code concerns action that increases stock levels

Decrease: Reason code concerns action that lowers stock levels
Currently, Store Management only supports setup of reason codes for use with stock management, so it is mandatory to select a stock impact option. If you select Increase, the reason code will be selectable on the Stock in page. If you select Decrease, the reason code will be selectable on the Stock out page.

Financial account and Index of financial account: If the reason code concerns an action that impacts a particular financial account, specify details about the account. Ask your Fiftytwo consultant or your organization's Finance department if you're in doubt about whether you need to specify account information.

View reason code statistics
The way that you view statistics about 52ViKING reason codes varies from organization to organization, and it depends on the tool that you use. Ask your Fiftytwo consultant if you're in doubt.
